ABOUT THE ROLE
As Commercial Operations Specialist, you will be responsible for a wide range of tasks including database management, commercial program advocacy & maintenance, reporting and analytics, workplace experience, and customer-centric practices. This role ensures compliance with corporate standards, supports internal teams, and maintains effective communication and documentation practices.
YOUR DAY TO DAY
Responsible for managing and maintaining customer applications and change requests within the MyStore and CCB2B databases. This role ensures compliance with SOX criteria and PMI privacy policies, executes distribution method changes, manages product entitlements, and administers agreements and amendments within our product portfolios.
Database Management (MyStore & CCB2B): Manage, approve, and maintain all customer applications and change requests. Ensure all SOX criteria are met, including legal descriptors, federal & provincial taxation information, financial details, ownership information, and other segmentation criteria. Maintain all information according to the PMI Privacy policy and other relevant PMI policies and procedures.
Distribution Method Changes: Execute all distribution method changes, ensuring all impacts are measured in the decision-making process.
Product Entitlement Management: Manage our multi-category business to ensure product entitlement is structured based on segmentation details and provincial regulations imposed on our customers.
Agreement Administration: Administer secondary/tertiary agreements and amendments within our product portfolios. Manage agreement acceptance, signatures, and applicable tracking of contracted values, deliverables, and locations. Send and monitor Adobe Sign agreements for sales programs and contracts.
Responsible for developing and maintaining comprehensive knowledge of commercial programs, managing program updates and compliance, and ensuring accurate execution of program changes. This role also involves troubleshooting and correcting missed program payment details and ensuring proper documentation for financial services.
Commercial Program Knowledge: Develop, maintain, and train for excellent knowledge of commercial programs.
Program Management: Manage all program updates, change requests, and compliance statuses, ensuring they are recorded, approved, and retained.
Database and System Updates: Execute and update program-level changes in internal databases and downstream systems to ensure appropriate cost controls and ROI on program investments.
Troubleshooting and Corrections: Troubleshoot, implement changes, or correct any missed program payment details. Arrange necessary repayment of program misses via financial services, ensuring all relevant documentation and backup are provided to meet requirements.
Responsible for generating and analyzing daily, ad hoc, and regular reports to support the commercial teams. Involves having an intermediate to high knowledge of using PowerBI and other data sources for sales program reporting and ensuring clear communication of commercial program deliverables to reduce ambiguity and errors.
Daily and Ad Hoc Reporting: Generate daily and ad hoc reports as required or requested by the regional commercial leadership teams.
PowerBI Sales Program Reporting: Create and distribute PowerBI sales program reports on a regular frequency to the commercial leadership teams, Commercial Planning, and Trade Activation teams.
Monthly and Quarterly Reporting: Extract, analyze, and communicate monthly and quarterly commercial program deliverables to the commercial teams. Ensure all requirements and calls to action are communicated to reduce ambiguity.
Responsible for fostering customer-centric practices within the commercial operations team. This role involves creating and sharing business communications, ensuring proper documentation practices, enforcing policies and procedures, assisting in onboarding, training new employees, and providing cross-functional support.
Business Communications: Create and share relevant business communications. Collaborate with internal departments to ensure employees have the tools and information needed to achieve their KPIs.
Documentation Management: Ensure functional documentation is created, maintained, filed, and destroyed by corporate legal and record retention policies and practices.
Policy and Procedure Compliance: Create and provide communications, enforcement strategies, and feedback on policies and procedures within the region to comply with PMI standards and SOX controls.
Onboarding and Training: Assist in onboarding and training new Commercial Operations employees.
Provide and review procedures for accountabilities in their respective roles.
Cross-Functional Support: Provide cross-functional support within the Commercial Operations team when required.
YOU ARE THE RIGHT PERSON FOR THIS JOB IF YOU HAVE
- Bachelor’s degree
- Proven experience in commercial operations, program management, reporting and analytics, and office
- Attention to detail and accuracy.
- Strong analytical and problem-solving abilities.
- Effective communication and interpersonal skills.
- Excellent organizational and multitasking skills.
- Ability to work independently and as part of a team.
- Strong business acumen
- Understanding of SOX compliance, cost control, ROI principles, and documentation management. an asset
- Advanced proficiency in Microsoft Office applications, Proficiency in PowerBI, Adobe Sign, and other relevant software and databases.

For this position, the salary range starts at $75,960 to $84,920
