ABOUT THE ROLE

 

A central point of contact and first line operations advocate for the commercial teams at the Toronto Head Office, performing standard to complex organizational duties with a focus on partnering with our internal and external customers to grow our business and achieve our company’s vision of a smoke-free future. 

 

Create, build, and sustain a critical information loop and business processes with relevant stakeholders, maintaining the overall communication flow between operations and commercialization teams to increase work performance and time utilization.  Additionally, required to proactively identify operational risks and opportunities to provide solutions for the same.  Liaising and collaborating with all commercial and supporting functions and external vendors/partners to ensure a smooth business environment with emphasis on optimal performance and consumer centricity.

 

YOUR DAY TO DAY

 

Reporting

• Complete data extraction and analytics for various reports in Qualtrics & ad hoc mystery shop programs

• Work with third parties to analyze and investigate costing/pricing, distribution, and system errors.

• Provide recommendations to eliminate any related revenue losses, review and escalate any unresolved system or shipping issues to ensure timely and efficient solutions are provided. 

 

Commercial Planning

• Coordination and execution of the National Trade Visit process

• Development and communication of National Quarterly Sales Awards

• Responsible for asset audit for controls monitoring

 

CX/CJ

• T&E Budget monitoring and management

• Project team coordination and task management

• Project-based assignments

• Updating FFWD experiment cards, results reporting, meeting participation, taking & action follow-up with stakeholders

• NSS callback support

 

Finance & Procurement

Purchase order creation, payment process and reconciliation. Ad hoc sourcing and procurement of items and event tickets, etc; cost and quote coordination to comply with all procurement IC processes. 

• Process contracts through the CLM database and Adobe Sign. Ensure applicable contract members have acted on new contracts and renewals

• Process and tracking of SOX forms

• Price Plus Program creation, management (ie, adding and removing of stores, etc.), and communication to FSF

 

Payments

• Collect and review Regional Sales payment files for retail programs.

• Liaison between Finance and FSF-CP/DTE teams, ensuring timely payment to retailers nationally

• Identify discrepancies and seek approval for Trade Management exceptions via the Commercial Planning Team

 

Meeting/Event Planning

• Mange the planning requirements and execution of various internal Head Office Commercial departmental Town Halls, Monthly & Quarterly meetings, etc.

• Scout, research, and secure meeting locations, meals, accommodations, technical requirements, and related KPIs for events to ensure they meet and comply with procurement principles and practices

• SFP Monthly mingle presentation development, planning, and coordination

 

Commercial Customer Centricity

• Provide high-level administration and partnership to the Head Office Commercial teams.

• Ensure functional documentation is created, maintained, filed, and destroyed by corporate legal and record retention policies and practices. 

• Monitoring multiple mailboxes

• Provide cross-functional coverage to the Commercial Operations peer team as required

 

YOU ARE THE RIGHT PERSON FOR THIS JOB IF YOU HAVE

 

College/University diploma in a relevant field

5 years of experience

Excellent verbal and written communication skills

Bilingual preferred (English/French)

Strong business acumen

Proficiency in Microsoft Office applications

An eye for attention to detail

Ability to work effectively in a fast-paced environment

Analytical skills to sift through high volumes of data and information

Experience in planning and coordinating small-scale events

For this position, the salary starts at $84,920 to $95,380 plus a variable compensation based on performance.
