THE ROLE
The Supervisor B2C will be responsible for the full RTM service delivery, and accountable for secondary distribution operation and fulfillment. The role is also responsible for the warehouse quality and compliance, and to provide support in business in contributing to the organization’s transformation and business performance.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
- ROUTE TO MARKET SERVICE DISTRIBUTION & PREPACK DELIVERY
- Responsible for the RTM full-service delivery and be accountable for secondary distribution operation and fulfillment. OCS is responsible for the end-to-end distribution of consumables and device.
- Role is responsible in implementing and monitoring the RTM prepack secondary distribution project. The responsibilities of this project include understanding the RTM sales and distribution process, partnering with third party LSP in the warehouse set-up and implementing the General Trade prepack and delivery process.
- Collaborate with Commercial Operation and B2B teams in ensuring the e-orders are fully captured with 100% fulfillment to the retailers and high consumer/retailer satisfaction
- E-ORDERING FULFILLMENT AND INTERNAL & EXTERNAL STAKEHOLDER ENGAGEMENT
- Responsible for the RTM secondary distribution in ensuring 100% fulfillment. This includes working with the 3PL in ensuring the daily orders are correctly picked and delivered on time, and understanding the delivery routing and the inventory pattern of each route.
- Manage all B2B and retailer order and delivery queries. Follow-up and resolve all retailer complaints.
- Collaborate with Commercial function and LSP to ensure that customer requirements are served in the right quantity and at the right time through implementation of e-ordering standard operating procedures and adherence to all financial, logistics and sales policies.
- Analyze and follow-up on cancelled orders, delivery rejections, unserved accounts and other related KPI's in e-ordering and fulfillment. Conducts Monthly business review with B2B Team and LSP on e-order and fulfillment performance metrics/KPIs and prepares action plans for resolution of issues identified.
- WAREHOUSE & EHS&S COMPLIANCE
- Ensure LSP warehouse is compliant to PMI standards in terms of quality, environmental, health and safety, and security. Regularly review warehouse standard compliance and perform yearly QA self-assessment as required by the Risk Assessment team.
- Regularly review PMI P&P requirement for transportation, warehousing, storage, and security of PM product requirements.
- Handling queries from OC on global warehouse and transport standards.
- PRODUCTIVITY
- Participating and leading global OCS projects such as Warehouse Optimization, CCFOT fulfillment, D40 Secondary distribution optimization projects in transforming the distribution operations and process to enhance the operation and eliminating loss while benchmarking against other global FMCG standards.
- Detail analysis and providing proposals (such as GEA study) in optimizing the delivery routing for the last mile secondary distribution, and engaging with consultants and stakeholders (such as McKinsey in the UV project) in developing initiatives to ensure OCS team achieves the 5% productivity target.
- PROCESS CONTROLS AND COMPLIANCE
- Provide accurate and timely assessment of controls for Sarbanes-Oxley (SOX) for O2C Process. Example - Controls and checks on daily inventory movement, and daily iSMS interface with SAP.
- Review relevant risks and controls during Annual Risk Assessment review with IC. Execute walkthrough process, identifies key attributes and key points to inspect, performs sampling, test design and performance of control and submits the result and recommendation to Internal Control on a timely manner.
- Daily reconciliation of stock against SAP and iSMS to ensure 100% correctness. This means having the knowledge and understanding of iSMS and SAP.
- Support Finance on cash, cheque, and banking issues. Ensure inventory reconciliation is performed to ensure stock accuracy in SAP vs warehouse inventory. This includes stock movement of sales, samples, LOGD, stock returns and stock rotation are correctly accounted with proper documentation adhering to process and procedures.
- TRACK & TRACE COMPLIANCE
- Ensure PMI Track and Trace policies are followed and complaint with the scanning of master shipping cases in the market. The role is accountable to ensure Track & Trace scanners are correctly implemented for both warehouse scanning and RTM IOS scanning. Liaise with iTrack and IT teams for any hardware and software issues. Follow-up on scanning issues to ensure 100% compliance and preparing all documentation for any exception request to Compliance team.
- Support commercial Call Center in ensuring PM products are of the highest quality as well as handle consumer complaints on product with quality issues and escalating to PPMD
- Ensure the quality of PM products in the market is complying with PMI policies and guidelines. Provide yearly review and regular training to Commercial, OCS team and LSP staff on Q1619 policy (visual checking, authenticity checks, and sample size scanning). Regularly review and propose the quality workflow and reports.
- POSM AND TRADE PROGRAM COORDINATION
- Engage with the Commercial team in ensuring LSP fulfill the POSM delivery and installation requirements and well as LSP fulfills any ad-hoc projects such as stock labeling and rotation operation.
- Required to have knowledge and in-depth understanding of the Trade Program activities and POSM scheduling and materials.
- RRP SUPPORT
- Support business development needs and activities such as RRP. Research and provide guidance on RRP or other tobacco products importation and handling. Contact Customs, LSP and shippers in order to gather the proper procedures for imports and exports. Document and provide workflow for new procedures. Coordinate with various internal functions to ensure imports of RRP devices and consumables have proper importation approvals.
- Support the business in providing updates to Commercial team of the potential new launches from PM competitors
QUALIFICATIONS
- Undergraduate or graduate degree in in Finance or Industrial Management
- Minimum of 3 years’ experience in Distribution
- Experience in people communication and project teams
- Cross-functional experience with Distribution's internal customer - Sales & Marketing; and external Third Party - LSP
- Native level Japanese and Fluent English skills (speaking, listening & writing)
- Good and effective communication skills
- With project management knowledge and experience
- Abel to work independently
