Your ‘day to day’
As a Sr. Analyst Data Intelligence and Tools, you will ensure efficient, accurate, and strategic management of resources and data across the Life Sciences (LS) project portfolio. This includes maintaining high data integrity, analyzing resource utilization trends to deliver actionable insights, engaging through clear communication and mentoring project managers and senior managers on the best use of our systems and reports. By doing so, you will support informed decision-making and align portfolio execution with organizational goals, as well as drive improvements in portfolio management processes and tools, and serve as a key liaison between project teams and senior leadership for all resource and portfolio data matters.
More specifically, you'll
- In the Data Management & Integrity Oversight tasks, you will oversee the input and maintenance of resource and project data in portfolio and planning systems. Ensure data consistency and integrity by coordinating data updates (including bulk changes via specialists) and implementing data governance standard processes.
- For Reporting, Analysis & Decision Support, you will conceptualize and oversee the development and delivery of advanced dashboards, reports, and visualizations to inform project managers and senior leaders. Analyze resource utilization, capacity trends, risks and opportunities across projects and teams, providing insights and recommendations to leadership team, P&C heads, Finance heads, functional heads and program leaders that support portfolio-level decision-making and strategy for planning.
- Regarding Resource Planning & Optimization, you will proactively review and assess resource allocation for current and upcoming projects. Identify potential resource constraints or bottlenecks and recommend solutions (such as reallocating resources or adjusting timelines) to optimize the use of available capabilities within LS teams. Critically challenge resource requests and allocations to ensure they reflect the real project demands.
- Ensure Technical Expertise & Support and serve as the first line of expertise to design, enhance and efficiently use the LS portfolio, project, and business planning systems. Fix and resolve severe or conceptual issues and technical problems (when raised by the technical teams); when necessary, bring up and oversee resolution of complex technical issues to IT or relevant teams. Continuously seek opportunities to enhance system usage and efficiency (for example, by identifying useful new features or process automations).
- Engage at all levels with project managers, team leaders, department heads, and leadership team, to gather requirements, provide portfolio updates, and raise inquiries regarding resource and portfolio data. Act as a key point of contact for portfolio and resource information, ensuring transparent and clear communication. This includes facilitating regular status meetings or briefings and ensure strong relationships both internally and externally.
- For Process Improvement & Innovation, lead and contribute to the development and refinement of resource and portfolio management processes. Identify process inefficiencies or gaps and drive continuous improvement initiatives. For example, introduce standard processes, new methodologies, or tools to improve data management, reporting workflows, or resource planning. Work closely with the Manager of Project & Portfolio Intelligence to implement these improvements and document standard operating procedures.
- Ensure Team Leadership & Mentoring, provide guidance and mentorship to external resource management analysts. Share knowledge of standard processes in data management communication, and assist in training team members on systems and processes. By fostering skills development and consistency within the team, ensure that the portfolio coordination function can scale and maintain a high performance standard.
Who we’re looking for
- Bachelor’s Degree in Business Administration, Project Management, Information Systems, or a related field or equivalent experience. A relevant advanced degree or professional certification (e.g., PMP, PRINCE2, or Business Analysis) is an advantage, especially with coursework in engagement or communications.
- Minimum 5 years’ experience in data management, resource management, portfolio/project management, or a related role. Demonstrated hands-on experience working with project portfolio management systems and data analysis tools (Excel, Power BI, etc.). Sound expertise in maintaining high data quality, supporting multiple projects simultaneously, and interacting with teams. Prior experience leading initiatives or mentoring team members is highly desirable.
- Strong Engagement skills, exceptional ability to build relationships and leading teams expectations. Comfortable working with and influencing individuals at various organizational levels.
- Sound communication skills, both written and verbal. Capable of conveying complex data insights in clear, non-technical language. Strong presentation skills for reporting to groups and senior leadership.
- Strong analytical thinking and quantitative skills. Ability to interpret complex datasets, identify trends or anomalies, and translate them into strategic insights or recommendations.
- Proactivity and creativity in solving problems. Ability to quickly identify the root cause of resource or system issues and develop effective solutions or workarounds.
- Demonstrated leadership qualities, whether through formal team lead experience or informal influence. Ability to take initiative, inspires confidence, and can coordinate the work of others towards common goals.
- Excellent organizational and time management abilities. Ability to juggling multiple tasks and projects, prioritizing effectively, and meeting deadlines consistently.
- Adaptability/flexibility to adapt to changing priorities, project scopes, or tools, as well as to embrace change and drive positive change within processes or systems.
- High Technical Proficiency in MS Excel, Power BI, and other data analysis/visualization tools. Familiarity with project portfolio management software and the ability to quickly learn new digital tools or systems.
- Continuous Improvement Mindset, passion for process improvement and efficiency. Ability to develop ways to streamline operations, automate repetitive tasks, and implement standard processes in portfolio management.
- Fluency in both written and spoken English.
