Purpose of the Role

As an Executive Assistant, you will play a critical role in enabling senior leadership to operate efficiently and effectively, ensuring priorities are met and the business runs smoothly.
This role provides high-level administrative and organizational support to Senior Management, with a strong focus on proactive planning, agenda management, coordination of business cycles and projects, and continuous improvement of internal processes.
Key Responsibilities
- Proactively manage senior management calendars and agendas, acting as a key liaison to ensure priorities are met. Strong planning and organizational skills are essential.
- Coordinate complex travel arrangements including flights, accommodations, itineraries, visas, and related correspondence. Manage travel and entertainment expenses.
- Organize internal and external meetings: venue booking, agenda coordination, materials preparation, and expense coordination.
- Support the organization and execution of company events, workshops, team-building activities, and special projects.
- Prepare and manage reports, presentations, and data using digital tools and the Microsoft Office Suite. Maintain organized filing systems and records.
- Handle information requests requiring coordination across multiple sources, preparing ad-hoc correspondence and reports as needed.
- Support budget processes including invoice processing, vendor creation, contract coordination, and contractor management.
- Ensure continuity of administrative operations during senior management absence.
- Handle sensitive and confidential information with discretion, ensuring proper archiving in line with PMI Records & Information Management (RIM) practices.
- Support ad-hoc initiatives and special projects as required.
- Perform other duties as assigned. The company may modify responsibilities as business needs evolve.
Experience & Qualifications
- Minimum 8+ years of proven experience as an Executive Assistant or in a senior administrative support role supporting executives.
- Strong proactive mindset with excellent problem-solving, decision-making, and organizational skills.
- Ability to prioritize effectively and meet deadlines in a fast-paced, constantly evolving environment.
- Excellent time-management skills with the capacity to manage multiple projects simultaneously.
- Professional proficiency in verbal and written communication.
- Advanced proficiency in the Microsoft Office Suite and virtual collaboration tools.
- Bachelor’s degree preferred.
- Languages: Fluent in English and Spanish; French is a plus.
- Strong digital skills and confidence working with modern collaboration and productivity tools.
