Role Overview

As an Executive Assistant professional, you will play a key role in supporting executives and teams by ensuring smooth day-to-day operations. Your mission is to provide high-level administrative and organizational support, enabling leaders to focus on strategic priorities while you manage the details that keep everything running efficiently.


Key Responsibilities

  • Coordinate and manage calendars, meetings, and travel arrangements for executives and teams.
  • Prepare, edit, and proofread documents, presentations, and reports.
  • Handle confidential business and personnel information with discretion.
  • Act as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-up.
  • Organize and maintain administrative documentation and records.
  • Support project coordination and assist in preparing materials for conferences, speeches, and events.
  • Identify opportunities to improve administrative processes and implement best practices.

Your Day-to-Day

  • Schedule and manage complex diaries and meeting logistics.
  • Prepare high-quality documentation and presentations.
  • Ensure smooth communication flow across departments and external partners.
  • Anticipate needs and proactively resolve administrative challenges.
  • Maintain confidentiality and professionalism in all interactions.

Education

  • University degree or equivalent work experience in Administration, Business, or related fields.

Experience & Skills

  • 5+ years of experience in executive or administrative support roles, preferably in multinational environments.
  • Excellent organizational and time-management skills.
  • Strong communication skills in English and Spanish.
  • Proficiency in Microsoft Office Suite; knowledge of SAP or similar systems is an advantage.
  • Ability to manage multiple priorities under pressure with attention to detail.
