Role Summary:
We are seeking a highly organized, proactive, and detail‑oriented Legal Assistant to support two senior leaders within our Legal & Compliance Department: the Vice President & Associate General Counsel for Corporate Governance and the Vice President & Associate General Counsel for M&A and Competition Law. This role provides comprehensive administrative and operational support across these legal functions and requires exceptional judgement, discretion, and the ability to manage highly confidential information.
In this position, you will play a key role in managing complex priorities, supporting calendars, facilitating communication across teams, organizing internal and external events, and coordinating travel and reporting activities. You will partner closely with senior legal stakeholders and must be able to quickly understand business priorities, anticipate needs, and operate with a high level of independence in a fast‑paced environment.
The ideal candidate will have prior experience supporting legal teams or senior legal executives, an excellent eye for detail, strong organisational skills, and the ability to learn quickly with minimal supervision.
Key Responsibilities:
Executive & Administrative Support
- Provide high‑quality, proactive support to senior leaders in Corporate Governance and M&A/Competition Law.
- Manage complex calendars, scheduling, prioritising meetings and understanding the importance of attendees and subject matter.
- Handle confidential documents with complete integrity and ensure proper security and storage.
- Assist with proof‑reading, preparing reports, and supporting business updates.
- Support quarterly activities, including peak periods linked to corporate filings and board‑related matters.
Meetings & Coordination
- Organise internal team meetings, extended team sessions, and off‑sites, including agenda preparation, logistics, and follow‑up on action items.
- Attend selected team meetings (where required) to track and follow up on actions.
- Coordinate annual offsite events, including venue selection, invitations, agenda planning, and on-the-day support.
- Facilitate communication between executives, team members, legal colleagues, and external stakeholders.
Travel, Events & Logistics
- Manage travel arrangements, itineraries, and travel‑related documentation for senior leaders.
- Prepare and reconcile expense reports with accuracy and timeliness.
- Manage departmental events, site activities, and workshops.
Legal Operations Support
- Collaborate with internal legal teams to support office and space planning for new joiners.
- Liaise with external law firms regarding invoicing and budget tracking; conduct initial review of outside counsel invoices to ensure accuracy, no double billing, and compliance with guidelines.
- Support printing, distribution, and handling of highly confidential documents, maintaining the highest trust and professionalism.
Team Support & Cross‑Functional Collaboration
- Provide occasional administrative support to the broader legal team, such as booking meetings, collecting signatures, and assisting with minor requests.
- Anticipate needs and proactively identify opportunities to support the wider department, even without direct requests.
Who are we looking for:
- High school degree, CFC, Business Administration diploma or equivalent required; Bachelor’s degree preferred.
- Proven experience in a similar position, ideally supporting legal leadership or working within a legal department.
- Exceptional attention to detail and strong organisational abilities.
- Excellent written and verbal communication skills in English.
- Strong computer literacy (MS Office and related tools).
- Experience managing competing priorities and working in a results‑driven environment.
- Ability to draft clear, professional correspondence and documentation.
- Demonstrated ability to maintain confidentiality and handle sensitive materials.
- Ability to respond quickly to urgent needs, including occasionally outside regular working hours.
