Your ‘day to day’
AR:
- Release and validate customer orders in Salesforce
- Control and submit daily cheque remittances - Investigate and resolve discrepancies
- Prepare route plan
- Perform customer overdue follow‑ups, including preparing collection schedules and action plans
- Issue manual invoices/proforma and credit notes and communicate them to customers
- Verify the collection of post‑dated checks
AP: Review incoming invoices (email or postal mail) to ensure:
- The presence of a valid PO number (contact requestor if missing)
- Compliance with mandatory invoice information
- Correctness and matching of the PO number
- Verify that the Goods Receipt (GR) has been performed; if not, request the purchase requestor to complete it
- Send validated invoices to Invoice Reunion
- Create POs and GRs when required
- Follow up open items (parked invoices) shared weekly by the AP team
- Monitor and resolve cases of supplier debit balances
- Archive paper invoices
- Control manual checks issued and track check stock/forms held by the company
Petty Cash:
- Manage petty cash payments, account codification, and data entry
Reconciliations:
- Perform monthly reconciliations for gift vouchers, including end‑of‑month stock counts and comparison with stock in/out files and prepaid account balances; sign stock release forms during distributions
- Perform the same reconciliation procedures for meal vouchers
Asset Inventory:
- Participate occasionally in fixed‑asset inventory checks
What is needed to succeed in this role?
- Knowledge of basic Excel functions
- Ability to speak and write in English
- BAC+2 degree (or equivalent two-year post-secondary diploma)
- Knowledge of SAP would be an advantage
