Role summary:  

You will be the front person of the Copenhagen office and perform all tasks related to our reception with a high professional standard and in adherence to company standards and code of conduct. You will be the go-to person for administrative queries from staff and assuring the office day-to-day runs smoothly.  

 

Main responsibilities:  

  • Provide pleasant and professional reception services such as welcoming visitors, receive and transmit calls and handle incoming and outgoing mail.   
  • Act as the main contact for the facility management company regarding potential security issues or malfunctions related to office operations. 

  • Serve as a Requestor in all relevant and applicable internal systems.  

  • Handle orders for all office requirements and plan and maintain stock to avoid shortages. 

  • Check all deliveries of goods and services related to normal office operations. 

  • Review related invoices for accuracy. 

  • Monitor and coordinate office cleaning contractors.  

  • File all documentation as per local requirements. 

  • Assist the Procurement department with competitive bidding forms for relevant requests. 

  • Organize the rearrangement of furniture and office moves. 

  • Coordinate with the IT department when required. 

  • Provide required administrative support to the General Manager and members of the Danish Management Team (DMT) on an ad hoc and required basis.

Responsibilities include but are not limited to: 

    • Managing calendars, scheduling meetings, and coordinating appointments. 

    • Arranging travel, accommodation, and event logistics. 

    • Preparing and processing business travel and vehicle expenses, obtaining necessary approvals, and ensuring timely submission to relevant departments. 

    • Handling incoming and outgoing communications, including emails and phone calls. 

    • Organizing and maintaining confidential files and documents. 

    • Assisting with the preparation of reports, presentations, and other documentation. 

    • Ensuring all relevant documents are archived according to company policies. 

    • Providing support for special projects and initiatives as needed. 

 

Who you are 

  • Demonstrated experience in a similar position. 

  • A highly independent and dedicated individual. 

  • Excellent communication and partner management skills. 

  • High standards of work ethic and integrity. 

  • Attention to detail and accuracy. 

  • Strong digital literacy. 

  • Experience with SAP and similar accounting systems would be an advantage. 

  • Proficiency in Danish and English is required.
