THE OPPORTUNITY
In this role, you will support the Brussels office by delivering high-quality administrative, organizational, and operational support to senior stakeholders and the Office Leadership Team. You will contribute to the effective day-to-day functioning of the office while operating in a dynamic environment with changing priorities.

 

You will be trained directly by an experienced Executive Assistant and progressively take ownership of a broader scope of responsibilities over time.

 

Responsibilities of the role:

  • Manage calendars, meetings, appointments, and travel arrangements (including accommodation and transportation)
  • Handle expenses, administrative documentation, and contract administration (including system uploads)
  • Support onboarding and employee administration processes
  • Coordinate office management, facilities, supplies, catering, and vendor relationships
  • Organize meetings, workshops, and internal events
  • Provide support to visitors, internal stakeholders, and senior leadership
  • Manage ad hoc operational and administrative requests while ensuring efficient office operations

 

 

KEY REQUIREMENTS

  • Relevant experience in an Administrative Assistant, Executive Assistant, Secretary, Office Coordinator, or similar role, with strong organizational skills and ability to manage multiple priorities
  • Proven ability to operate effectively in a fast-paced and ambiguous environment with high flexibility and adaptability
  • Demonstrated ownership mindset, accountability, and proactive, service-oriented working style
  • Strong interpersonal and communication skills
  • Fluent in English (mandatory) and conversational level in French (required)
  • Ability to handle pressure, manage urgent requests, and remain effective under tight deadlines
  • Reliable, highly responsive, and detail-oriented
